Author Guidelines

Advances in Educational Studies and Inclusive Practices (AESIP) welcomes high-quality scholarly contributions that advance educational research, policy, practice, innovation, and inclusive education. The journal publishes original, rigorous, and impactful research addressing contemporary educational challenges and developments from local, national, and international perspectives.

AESIP serves as an international platform for researchers, teacher educators, policymakers, academic professionals, and educational practitioners to disseminate original research studies, theoretical perspectives, systematic reviews, policy analyses, and evidence-based educational practices.

All submitted manuscripts must be original, unpublished, and not under review or consideration by any other journal, publisher, or publication platform. Authors are responsible for ensuring that submissions comply with ethical research standards, academic integrity principles, and all journal publication policies.


1. Scope and Focus

Advances in Educational Studies and Inclusive Practices (AESIP) is an international, peer-reviewed, open-access, multilingual journal committed to promoting educational scholarship and inclusive practices across all educational levels.

The journal welcomes interdisciplinary research connecting educational theory, policy, and practice. AESIP particularly encourages submissions addressing educational excellence, innovation, equity, accessibility, lifelong learning, and social transformation.

2. Language Policy (Multilingual Submissions)

AESIP is a multilingual journal and accepts manuscripts in the following languages:

  • English

  • Hindi

  • Urdu

Authors may submit the complete manuscript in any one of the above languages.

To enhance international visibility, indexing, DOI registration, and global accessibility, manuscripts submitted in Hindi or Urdu must include the following information in English:

  • Title of the manuscript

  • Author name(s)

  • Institutional affiliation(s)

  • Corresponding author details

  • Abstract (150–250 words)

  • Keywords (5–8)

The English metadata will be used for journal indexing, Crossref registration, DOI services, and online discoverability.

Authors are responsible for ensuring linguistic accuracy, academic clarity, and scholarly quality in the language of submission. The editorial office reserves the right to request language editing or proofreading where necessary.


3. Manuscript Types and Requirements

Authors should select the appropriate manuscript category at the time of submission. Word limits exclude references.

4. Submission Process

Authors must submit the following documents with every manuscript submission:

  1. Author Declaration and Copyright Agreement Form
  2. Manuscript File (Anonymised)
    • The manuscript must be anonymised. Remove all identifying information before submission.

5. Manuscript Preparation Guidelines

AESIP does not require strict formatting at the initial submission stage. However, all manuscripts must contain the essential elements required for scholarly evaluation, including the title, abstract, keywords, main text, figures, tables, funding information, ethical declarations, and references.

Additional formatting requirements may be requested after acceptance.

General Requirements:

  • Language: Manuscripts may be submitted in English, Hindi, or Urdu according to the journal’s language policy. Authors are responsible for ensuring linguistic accuracy and academic quality.

  • File Format: Microsoft Word format (.doc or .docx)

  • Font: Times New Roman, 12-point font size

  • Line Spacing: 1.5 spacing

  • Page Size: A4

  • Margins: 2.5 cm on all sides

  • Referencing Style: APA 7th Edition (strict compliance required)

  • ORCiD: All authors are strongly encouraged to provide an ORCiD identifier.

6. Declarations and Transparency Requirements

All manuscripts must include appropriate declarations to ensure transparency, ethical compliance, and research integrity.

Author(s) Contributions

For manuscripts with multiple authors, a statement describing individual contributions is required.

Authors may use the following CRediT taxonomy format:

“Conceptualization, X.X. and Y.Y.; methodology, X.X.; software, X.X.; validation, X.X., Y.Y., and Z.Z.; formal analysis, X.X.; investigation, X.X.; resources, X.X.; data curation, X.X.; writing—original draft preparation, X.X.; writing—review and editing, X.X.; visualization, X.X.; supervision, X.X.; project administration, X.X.; funding acquisition, Y.Y. All authors have read and agreed to the published version of the manuscript.”

Alternatively, authors may provide a concise contribution statement describing each author’s role.


Artificial Intelligence (AI) Usage Disclosure

AESIP follows a transparent and responsible approach toward the use of artificial intelligence tools in academic publishing.

Permitted Uses (non-substantive only):

AI tools may be used only for non-substantive assistance, including:

  • Grammar and spelling correction

  • Language improvement

  • Sentence restructuring

  • Formatting assistance

  • Brainstorming research ideas or organizational structures

Prohibited Uses:

AI tools must not be used for:

  • Generating original research content or arguments

  • Creating data, results, or interpretations

  • Producing unsupported scientific claims

  • Replacing authors’ intellectual contribution or scholarly judgment

  • Conducting undisclosed literature synthesis

Mandatory Disclosure:

If AI tools such as ChatGPT, Grammarly, or similar applications are used during manuscript preparation, authors must provide a clear disclosure statement.

Example:

“[AI tool name] was used for [specific purpose, such as language editing, grammar correction, or formatting assistance]. All content was reviewed, verified, and edited by the authors, who take full responsibility for the final manuscript.”

Failure to disclose AI usage may result in rejection, withdrawal, or retraction of the article.


Funding Information

Authors must disclose all sources of financial support received for the research.

If no external funding was received, authors should include the following statement:

“This research did not receive any specific grant from funding agencies in the public, commercial, or not-for-profit sectors.”


Availability of Data and Materials

Authors must provide information regarding access to the data supporting their research findings.

Example:

“The data supporting the findings of this study are available upon reasonable request. The data are maintained by the authors and can be provided to qualified researchers for academic purposes.”

If data cannot be shared due to ethical, legal, or privacy restrictions, authors should clearly explain the reason.


Conflict of Interest

Authors must disclose any financial, professional, or personal relationships that could influence the research.

If no conflict exists, authors should include:

“The authors declare that they have no known competing financial interests or personal relationships that could have appeared to influence the work reported in this paper.”


Ethical Approval and Consent to Participate

Research involving human participants must comply with relevant ethical standards and institutional requirements.

Where applicable, authors should provide:

  • Name of the ethics committee or institutional review board

  • Approval number

  • Date of approval

  • Consent procedures

If ethical approval was not required, authors may state:

“The study did not involve clinical interventions, experiments, or procedures requiring formal ethical approval.”


Clinical Trial Registration (if applicable)

For studies involving clinical trials, authors must provide the registration number and relevant details.


7. Publication Schedule and Author Publication Limits

Effective from 2027, AESIP will be published three times annually:

  • April Issue

  • August Issue

  • December Issue

The journal accepts submissions throughout the year on a rolling basis.

Author Publication Frequency Policy

To ensure diversity of scholarly contributions, an author (including co-authors) may publish no more than one article in each of two consecutive issues.

This policy applies to all authors listed on published articles.


8. Peer Review Process

All submitted manuscripts undergo a rigorous peer-review process to ensure academic quality, originality, and relevance.

Review Procedure

  • All research articles undergo double-blind peer review.

  • Each manuscript is evaluated by at least two independent expert reviewers.

  • Invited commentaries may follow an alternative editorial review process.

Review Timeline

The average time to first editorial decision is approximately:

8–12 weeks

The final decision depends on reviewer recommendations, manuscript quality, revision requirements, and editorial assessment.


9. Revision Policy

Authors submitting revised manuscripts must provide:

  1. Author Response Letter

    • A detailed, point-by-point response addressing all reviewer and editor comments.

  2. Revised Manuscript with Track Changes

    • A version showing all modifications made during revision.

  3. Clean Revised Manuscript

    • A final version without tracked changes for production processing.

Authors should clearly explain any comments that were not incorporated and provide appropriate justification.


10. Article Processing Charges (APCs)

AESIP follows an author-friendly publication model.

  • No Article Processing Charges (APCs) will be applied during 2026.

  • All publication expenses during the launch year are supported by Synergy Publication.

  • Any future changes to APC policies will be announced well in advance through official journal communication channels.


11. Open Access and Copyright Policy

AESIP publishes all articles under the principles of open-access scholarship.

The journal follows:

  • Gold Open Access publishing

  • Creative Commons Attribution 4.0 International License (CC BY 4.0)

Under this policy:

  • Authors retain copyright ownership of their work.

  • Readers may access, share, and reuse published articles according to CC BY 4.0 terms.

  • Authors agree not to submit the same manuscript or substantially similar versions to another publication platform after publication without prior written permission from the Editor-in-Chief.

  • This submission is original and not under consideration elsewhere.
  • The author(s) must submit an author declaration, which can be filled out and downloaded through this link.

  • Permission has been obtained to publish all photos, datasets, and other material provided with this submission.

Identity of the Data Controller

Synergy Publication is a non-profit publishing house dedicated to the dissemination of high-quality scholarly journals and books, prioritizing academic merit, ethical publishing, and open access.

Advances in Educational Studies and Inclusive Practices is published and technically managed by Synergy Publication.

Synergy Publication acts as the Data Controller for all personal data processed through the Advances in Educational Studies and Inclusive Practices journal platform, which operates on Open Journal Systems (OJS).


Protection of Personal Data and Legal Basis

Synergy Publication processes personal data in compliance with applicable data protection regulations, including the General Data Protection Regulation (GDPR) (EU) 2016/679, where applicable, and relevant national and international data protection laws.

Personal data is processed solely for the purposes described in this statement and is not shared with third parties except where explicitly stated or required by law.

The legal bases for processing include:

Purposes of Data Processing

Personal data is processed strictly in relation to the role(s) undertaken within the journal and for the following purposes:

  • Identification and communication throughout the editorial and publication process

  • Submission management, peer review, editing, and publication

  • Optional notifications regarding new issues, calls for papers, or journal updates


Role-Based Data Use

  • Readers: Data is used for identification and optional content notifications.

  • Authors: Data is used for editorial communication and publication. Upon publication, the author’s name, affiliation, ORCID iD, and biographical summary are publicly displayed and indexed as part of the scholarly record.

  • Reviewers: In the double-blind peer review process, reviewers do not have access to authors’ personal data. Reviewer data is visible only to editors for selection and communication.

  • Editors: Name, affiliation, and country are publicly displayed on the Editorial Team page for transparency.

  • Administrators: Authorized technical staff of Synergy Publication may access system data solely for platform maintenance and support, not for editorial decision-making.


Data Retention

  • Personal data is retained for as long as the user account remains active or as necessary to fulfill editorial and publishing purposes.

  • Data associated with published articles forms part of the permanent scholarly record and is retained indefinitely.

  • Requests for deletion of non-published personal data may be made at any time, subject to legal and operational obligations.


Recipients of Personal Data

Personal data may be accessed by:

  • Journal editors and authorized administrators

  • The public, in the case of published content (e.g., author information on articles, editor details)

  • The Public Knowledge Project (PKP), in anonymized and aggregated form, for platform improvement

No personal data is sold, rented, or shared for marketing or commercial purposes.


Rights of Data Subjects

In accordance with applicable data protection laws, including GDPR where relevant, users have the right to:

  • Access and obtain a copy of their personal data

  • Request correction of inaccurate or incomplete data

  • Request erasure of personal data, where legally permissible

  • Restrict or object to processing in certain circumstances

Minors

Registration and processing of personal data for individuals under the age of 16 require explicit consent from a parent or legal guardian.
